What benefit is an AARTS transcript?
- Saves time and money:
Based on a survey conducted by the American Council on Education
(ACE), the average number of academic credits awarded from an AARTS
transcript for 1998 was 14 semester hours. This saves tuition dollars
and classroom time.
- Provides a description of
military schooling and work history in civilian language.
- Serves as a counseling tool for
academic and career counselors in advising soldiers and veterans.
- Serves as an aid in preparing
resumes and explaining Army work experience to civilian employers.
How much does an AARTS transcript cost?
The AARTS transcript is provided free of charge.
How long does it take to get an AARTS transcript?
AARTS processes transcript requests on a
daily basis. We have a 24 hour turn-around time. The requests are entered into our data base on the day they are
received and normally mailed out by the following working day.
Transcripts requiring research take a little longer to
process.
How often should I request an AARTS transcript?
We recommend that you review your transcript
at least once a year unless you have recently experienced some type of
change (promotion, course completion, etc.) in which case you should wait
two months from the date of change and then request an updated transcript.
You can also review your web transcript for
updates and accuracy.
Should I send a copy of my college transcript to
AARTS?
No. Civilian Education Level is no
longer displayed on the AARTS transcript and college courses are not
included therefore we have no need for your college transcript.
Will my training and experience while I was enlisted with
other services (i.e., Air Force, Navy, Marines) be included on my AARTS transcript?
Unfortunately, no. The reason is that other
services do not report information to the AARTS data base. You can receive
credit for time with other services by supplementing your AARTS transcript
with a DD Form 295 (Application for the Evaluation of Learning Experiences
During Military Service) or DD Form 214 (Certificate of Release or
Discharge From Active Duty). Contact your Education Center or the Veteran
Affairs Office at your college for more information. You may also refer to

Why does my course/MOS say "PENDING EVALUATION?"
When will it be evaluated?
All course and MOS evaluations are provided
by ACE. When new courses/MOSs are created by the Army, ACE needs time to evaluate them.
The same is true for existing courses/MOSs that experience significant
changes. The amount of time required is dependent upon the timely
submission of documents by the Army to ACE for their evaluation. Please
refer to the "Other Learning Experiences" section of your
transcript for further clarification. You can also visit the
ACE web site for more information.
I took an Army course two years ago. Why isn't it on my transcript?
All course information is sent to AARTS by
the Army Training Requirements and Resources System (ATRRS) on a monthly
basis. Each individual school is responsible for annotating the ATRRS
system when a soldier graduates from a course. If the annotation is not
made prior to the information being sent to AARTS, the course does not get
reported to our data base since only "graduate" information is
sent. This is why it takes two months for course information to show up on
your AARTS transcript. We allow 30 days for schools to
mark all graduates on the ATRRS system before requesting the information
be sent to the AARTS data base. If you are missing a course you completed
more than two months ago, please refer
to our corrections page to see how to add it
to your transcript.
Why isn't my correspondence course evaluated?
Most correspondence courses are not evaluated by ACE
because they do not have a proctored end-of-course exam. Whether or not your
institution will award credit for a correspondence course is up to them. You
can, however, obtain a transcript from the
Correspondence School to supplement your AARTS transcript.
How do I get my correspondence courses added to my transcript?
Correspondence courses are only
added to AARTS transcripts if they are reported through the Army Training
Requirements and Resources System (ATRRS). The AARTS staff does
not manually add correspondence courses.
Correspondence courses are now reported on a monthly basis so you should
see them on your transcript two months after completion of the course if
they were reported through ATRRS.
How do I get my name changed on my transcript?
The AARTS staff does not
make manual name changes. Name changes are reported to us automatically
from Human Resources Command (HRC), NGB and USAR sources. It takes approximately two months for
the updated information to reach our data base. We cannot change your name
after you have left the army. Once you separate from service, your record
is considered closed and no further updates will be made.
I am a Warrant or Commissioned Officer. Can I get an AARTS transcript?
Yes! If your BASD is 1 October 1981 or later, you may have an AARTS record which can be used to create an AARTS transcript. Please refer to "Officer Alternatives" to find out how to receive credit for your commissioned officer/warrant officer training and experience. Other eligibility requirements for Army National Guard and Army Reserve members can be found at the "AARTS Transcript Eligibility" page.
My BASD/PEBD is before October 1, 1981. Can I get an AARTS transcript?
Yes and no. While a transcript can easily be prepared for an active Soldier or Veteran with a BASD of or after 1 October 1981, if your BASD is before that date, you may no longer be in our system and you will therefore have to go to the National Personnel Records center web site at: http://vetrecs.archives.gov to request that they send the AARTS Operation Center an original copy of your DD Form 214 with a raised seal on it, along with a certified copy of your ERB/PQR/ORB (depending if you were active or Guard/Reserve).
I get an error message when I try to view my transcript.
Several things may produce errors when requesting an AARTS transcript. By far the most common is that the Date of Birth (DOB) or BASD/PEBD you input was not the date that AARTS has on file for you. This may be for one of two reasons:
1) It was entered incorrectly; or 2) at some point the date we have has changed during some personnel action (re-enlistment, PCS, discharge, etc.) and you were not aware of the change. If either of these events happens, you will need to contact the AARTS Operations Office via e-mail at: LEAV-AARTS@conus.army.mil and request that the date(s) be corrected. Note that we CANNOT CHANGE THE DATE without proper documentation from approved source(s).
Other errors may occur during the actual creation of the transcript, even with the correct SSN and dates. In general, these errors are a result of invalid information received for MOS's or Army courses. These types of errors are automatically reported to the AARTS research staff by the web server when you request a transcript, and are generally corrected within two (2) working days, UNLESS supporting documentation is required in order to make a change. If this is the case, you will have to contact the AARTS staff to arrange for documentation to be sent to the AARTS office before the change(s) can be made. Due to the nature of the Internet and the Web, we CANNOT contact you when errors occur, you must contact us.
When I look at the course and MOS lists, there are missing courses and/or MOS’s.
These lists are direct from our database sources. This is what we have been told about you. If a course or MOS is missing from the list; or dates are missing or incorrect; you will have to contact the AARTS Operations Center via e-mail at: LEAV-AARTS@conus.army.mil in order to correct the information. Detailed information and instructions for correcting your database record may be found on the "Corrections" page of the main AARTS web site. Again, we CANNOT change or add information without proper documentation from primary source(s).
Awards, local/unit level training (i.e., motor pool training), civilian courses (any course taken at or through a college), and correspondence courses (unless reported by ATRRS) are NOT included on the AARTS transcript.
Can I take the “Personal” copy of my transcript to a college or institution for credit?
No. This is an UNOFFICIAL transcript, intended for your personal information and use only! Colleges and other institutions have been instructed to ONLY accept AARTS transcripts titled "INSTITUTIONAL COPY", whether they receive them through the mail in a sealed envelope or have them electronically delivered via the AARTS College Web Site.
How do I get an official AARTS transcript?
Official AARTS transcripts are sent directly to the college or institution when requested by Soldiers or Veterans. Go to the newly updated AARTS Fact Sheet at: http://aarts.army.mil/fact_sheet.htm for the instructions on how to request a transcript.
Where can I view the recommended A.C.E. Credit recommendations for Army Courses and MOS’s?
A.C.E. Guides for Army (and other services) Courses and MOS groups are available at: http://www.acenet.edu. These guides provide A.C.E. descriptions and recommendation for all EVALUATED military courses and occupation codes.
How do I print my personal transcript?
When you are viewing your personal transcript, you may use your browser's 'Print' button or menu option to print the AARTS transcript page. If you want the printed copy to appear similar to the AARTS transcript sent from the AARTS office, select the 'Printer Friendly Version' link at the top of the page FIRST, then print the resulting black and white page.
Can I prevent my information from being viewed on this site?
Yes. We have established a 'restriction list' of SSNs that are not accessible via this web site. To add your SSN to this list, send an e-mail message with your SSN and a request to be added to the restricted list to LEAV-AARTS@conus.army.mil.
NOTE: By placing your SSN on this list, the ONLY way to request an AARTS transcript, either personal or official, is to mail or fax your written request to: AARTS Operations Center, 298 Grant Ave., Fort Leavenworth, KS 66027-1254.
